WebEd Workshop and Clinic Hours Management

One of the most important features of the WebEd system is the management of various clinics and workshops. The system allows for this kind of activities to be scheduled in advance. Clinic schedule can be displayed using either monthly or using the more detailed week view option. In the WebEd system you don't even need to setup each and every event individually. The system provides options to duplicate existing event setups into the future, since most of the workshops and clinics are recurring weekly. A list of students is attached to each of these classes. We usually call this an attendance list. To get on the list students must first request this or, alternatively, the college may suggest it to some of the students.

Month and Week Views

This management views display clinic/workshop events that have already been scheduled and also allow the users to create and schedule new events or change the settings of the existing ones. In the month view you get a monthly summary of the clinics/workshops whereas the week view shows fewer events but provides you with more information about the attendance list of each of the events. You can freely switch between month and week views depending of the type of information you need. Week view also presents you with the option of duplicating the entire week schedule to other weeks in the future with just a few clicks of the mouse.

What you see above is a real-life example of a month view. You can navigate months and also there is support for more than one college. The currently displayed one is "College of Medicine". From this month view you can switch to a week view by simply clicking on the rounded vertical "View Week" buttons. Clicking on week number 4 will lead yoo to the week view below.

Creating and Updating of Individual Clinic/Workshop Records

Each clinic/workshop can be set up with a number of different properties and options. The most important being the title, date, start time and end time. Also useful are the properties that limit the maximun number and the role of the students. All these are shown on the screenshot below.

Immediately after the clinic/workshop setup has been created the attendance list and years summary appear below the main options. Of course, these are empty initially but will get populated gradually as students apply for this clinic/workshop. Finally the workshop will end looking similar to the screenshot below.

Generally, one does not need to add students manually but there are cases where this way is easier and more appropriate so the system provides this option too. There is also a slightly simplified version of this screen designed just for tutors that need to check the attendance. Tutor will change the state of students that are present to Attended and the rest to D.N.A. (Did Not Attend). The tutor can also, on his own discretion, manually add stutents that are present but are not on the attendance list.
